Payment Instructions:

 Planning Fees: A $250-1,000.00 “Planning Fee” is required to go beyond the initial consultations/proposals. If you opt, for whatever reason to abandon the journey or book through another source, the planning fee then becomes fully non- refundable and covers Artisans of Safari LLC’s time and work. Deposits & Final payments are in addition to the Planning fee.

Reservation/Confirmation Deposit: A deposit equal to 40% of your total trip cost is required to firm space upon your acceptance of your tailor-made safari. If the departure date is within 90 days, full payment will be required in lieu of deposit.

Final Payment: Due 90 Days prior to departure

Cancellation Conditions & Charges

In addition to a non-refundable service fee of $1,000 per person (only payable up to 30 days prior):

  1. a)   25% of total trip cost is forfeited for cancellations made up to 91 days or more prior to departure. *                                                                           
  2. b)   50% of total trip cost is forfeited for cancellations made between 90 days to 66 days or more prior to departure. *      
  3. c)  100%   of total trip cost is forfeited for cancellations made between 65-0 days prior to departure*             

*Plus, applicable third-party charges, this refers to any penalties that may be assessed by the individual lodges, charter airlines or special services in the event that their cancel policies are more restrictive. During Festive Season penalties increases to 100% at 120 days (4 months) before travel.  Additionally, some costs i.e. Gorilla permits, internal Africa airline tickets that have been issued, among others, are fully non-refundable upon receipt, and this will always be specified.                                         

WE STRONGLY RECOMMEND “TRIP CANCELLATION” INSURANCE. Medical insurance is required to participate in all journeys to Africa.

 

IMPORTANT: All pre-paid, non-refundable components of your trip must be insured on the same policy to protect your pre-existing conditions waiver or Cancel for Any Reason option.

  • If you add services to your trip at any time that are pre-paid and non-refundable (example: international air, balloon trip, sightseeing en route to Africa, hotels en route to Africa), you are required to modify your travel protection policy to reflect those changes within 10-21 days (based on the same amount of time as pre-ex waiver for the policy you purchased) to maintain your pre-existing conditions waiver.
  • If your trip dates change (the days you depart and/or return home) you must modify your policy to reflect the correct dates to ensure your policy is valid.

Included in Safari Price:

Accommodations: As specified in the itinerary, or similar, will be provided in hotels, lodges camps based on two persons sharing a room with private bath or shower. The right is reserved to substitute hotels, camps, and

lodges in the event of Force Majeure and with client approval of substitutes.

Single Accommodations: are at an additional cost, and typically a single room supplement will be charged. Meals: are provided as specified in each program.

(B)=Full American Breakfast, (L) =Table d’hôte lunch, (D) =Table d’hôte dinner.

Transfers: between airports, rail stations and hotels are provided, when specified, throughout with two pieces of luggage per person.

Excursions: as specified in each itinerary in the most modern and comfortable transportation equipment available within the area of Africa you are traveling with English-speaking drivers/guides.

Airline Baggage Allowance: Airline Baggage Allowance guidelines and limits with regard to the number of pieces, linear measurements and weight vary according to domestic U.S., international and internal African carriers. Please check with the air carriers in your itinerary as the allowances can change. On small chartered flights within Africa, strict luggage restrictions apply; details are provided in the safari documents.

Baggage: On a flying safari, you will be permitted one soft-sided bag, which should weigh between 25 and 44 lbs., depending on the type of aircraft and destination. Your final documents will advise the appropriate weight limit. Excess baggage should be stored at passenger’s expense. Luggage and personal effects are at the owner’s risk throughout their journey.

Research, Communication Cost, Planning: Safari planning, preparation, marketing and operational costs ARE included in the safari price. These prices are based on tariffs, taxes and rates of exchange in effect at the time of printing. We reserve the right to increase prices due to fluctuations in tariffs, taxes or foreign rates of exchange.

Revisions To Itinerary: A fee of $100 will be charged for a revision to a confirmed itinerary.

Late Booking Fee: A fee for additional communications and expedited mail costs will be charged when applicable.

Not Included in the Safari Price:

LAND ONLY prices do not include airfares, costs of obtaining passports, visas, inoculations, excess baggage charges, all items of a personal nature such as drinks, laundry, telephone calls and cables, meals not specified in the itinerary, personal and baggage insurance, local airport taxes and tips to waiters, hotel staff, game rangers and sightseeing drivers and guides.

Gratuities: Tips to safari guides, waiters, hotel staff, baggage handling, and game rangers are not included and are at the safari participant’s discretion.

Air Travel Taxes: Taxes and fees imposed by governments and other authorities are NOT included in the air fares quoted and may include SEPT 11TH SECURITY FEE of $2.50 per passenger per flight segment (maximum $5 one-way / $10 roundtrip), PASSENGER FACILITIY FEE (PFC’s) of up to $16 per passenger, FEDERAL DOMESTIC FLIGHT SEGMENT FEE of up to $3.30 per passenger per flight segment, US or INTERNATIONAL DEPARTURE AND ARRIVAL CHARGES may apply, depending on the itinerary. Taxes are subject to change until the time of purchase.

Refunds: will not be made for occasional missed meals or services, or any absence from the safari of less than 4 consecutive days, or for hotel accommodations not utilized. Applications for refunds must be made in writing to Artisans of Safari LLC., within 30 days of safari termination.

Visa/Inoculations: Visa and immunization requirements vary from country to country and up-to-date information should be obtained from your local health department and consulate. Visas are required for most areas in the safari and this information may be obtained from your local consulates.

Risks

Important Note: Safari arrangements are intended for persons of reasonably good health and without physical disabilities which would create a hazard either for the passenger or other passengers. Safaris and travel within Africa could contain rugged terrain, bumpy drives caused by non-paved roads, potholes, off-road driving including through rivers and streams, and driving in 4-wheel drive vehicles. Walking commonly involves climbing on steps as well as rocky and uneven areas and walkways. By forwarding deposit for passage, the passenger certifies that he or she does not have any physical disability that might create a hazard for themselves or other safari participants and can participate in the activities stated above. We reserve the right to decline to accept or retain any person as a safari participant should such person’s health or mental condition impede the operation of the safari.

Responsibility: Artisans of Safari LLC as well as your travel agent, outfitters, operators of the safaris and/or subcontractors of services act only as agents for the supplier in regards to travel, whether by plane, car, motor coach, ship or railroad and assume no liability for injury, damage, loss, accident, delay or irregularity, which may be occasioned either by reason or defect of any vehicle, act of war, insurrection, revolt or other civil uprising, other military action, strikes or any Act of God occurring in either the country of origin, destination or through passage, or for any reason whatsoever, or through the acts or default of any company or persons engaged in arrangements of the safari.

In the wilderness and safari areas of Africa, wildlife are free and such wildlife experiences unfold naturally and are not orchestrated for the tourists. There is no guarantee in the wild and the possibility exists of fluctuations of nature regarding wildlife viewing, timing, locations of animals, temperatures, weather, wildlife movements, fluctuations in normal weather patterns, climate changes, changes in water levels, cold or hot spells, droughts, rain, varied migrations and animal viewing in various parts of the African continent, or islands off of Africa. Artisans of Safari LLC, your travel agent, outfitters, operators of the safaris and/or subcontractors of services are not liable for natural fluctuations that affect weather and wildlife viewing in various parts of the African continent, or islands off Africa. By forwarding the deposit for passage, the client acknowledges they are aware of the nature fluctuations in Africa.

Timing of services in Africa can be variable and unpredictable. All start and end times, length of services, as well as number of hours it takes to drive, fly or walk while traveling from point to point and/or while viewing wildlife or sightseeing in Africa can fluctuate greatly dependent on road and other local conditions, animal patterns, other natural occurrences, schedule necessities, weather, safety concerns, etc. which are determined on the spot and cannot be predicted ahead of time. Thus, all timing given in documents prior to departure are variable and subject to change during the course of travel. Local operators, camps, hoteliers, guides, pilots, drivers will update passengers during the course of the trip. Artisans of Safari LLC, your travel agent, outfitters, operators of the safaris and/or subcontractors of services are not liable for fluctuations timing. By forwarding deposit for passage, the passenger acknowledges they are aware of the likelihood of timing fluctuations in Africa.

When in Africa phone service is always spotty. One cannot ever expect all North American cell phones to work in Africa and specifically in undeveloped and wilderness areas. Some phones may work while others don’t. One must plan for the possibility of being out of contact for part or all of the African journey. Additionally, an international calling plan should be set up for all the countries you are visiting if you wish to call from your personal cell phone, however all calls and call charges are responsibility of the passenger. The nature of the destination is that there are places where one will simply be out of contact. There is WIFI only at a very small number of camps in Africa and there may be a cost incurred. Additionally North American cell phones which receive emails or access the internet and social networks to upload updates and photos could be subject to very high charges in Africa for receiving data and web access to your phone. All emails and internet costs are the responsibility of the passenger. Check with your carrier. It is recommended that either your data should be turned off completely throughout your entire trip or a special data plan should be set up with your provider in preparation for your trip.  Without these arrangements, it would not be uncommon to get a bill for hundreds to thousands of dollars, depending on the length of your trip. Even if the data is turned on one time in Africa, all emails will download. Even with a data plan, it is recommended that you turn your phone to a plain text setting and block all images from being downloaded.

Bringing Satellite phones may not be allowed in all countries or require extensive paperwork and approvals far in advance of travel. Artisans of Safari LLC, your travel agent, outfitters, operators of the safaris and/or subcontractors of services are not liable for communication differences in Africa. By forwarding deposit for passage, the passenger acknowledges they are aware of these communication differences in Africa.

Safari accommodations vary greatly within Africa, and also from accommodation in other countries, often being located in very remote and undeveloped areas, as well as having more rustic amenities including toilets, showers, beds, lighting, variations in food, often include outdoor and communal dining, etc. Artisans of Safari LLC, your travel agent, outfitters, operators of the safaris and/or subcontractors of services are not liable for accommodation differences in Africa. By forwarding the deposit for passage, the passenger acknowledges they are aware of these accommodation differences in Africa.

Artisans of Safari LLC, your travel agent, outfitters, operators of the safaris and/or subcontractors of services cannot accept any responsibility for losses or additional expenses due to delay or changes in schedules or other causes. All such losses or expenses will be the responsibility of the member of the safari, as the rates provided are for the arrangements only at the time stated. The right is reserved to make any adjustments to the itinerary and the right is reserved to cancel any safari prior to departure. Artisans of Safari LLC may not be held responsible for any loss or damage to luggage, before, during or after the safari program. Payment of your deposit shall be deemed to

be consent to the above conditions.

Airline Responsibility Clause: The airlines concerned are not to be held responsible for any act, omission or event during the time the passengers are not aboard their conveyance. The passenger contract in use by the airlines concerned when issued, shall constitute the sole contract between the airline and the purchaser of the ticket. Prices are based on tariffs in effect as of 2024/2025, inclusive of fuel surcharges and other airline charges, and are subject to change without notice until the time of purchase.

Disclosure Notice

Please be aware that during your participation in a safari, certain risks and dangers may arise including, but not limited to, the hazards of traveling in undeveloped areas, travel by boat, train, automobile, aircraft or other means of conveyance, the forces of nature, political unrest and accident or illness in remote regions without means of rapid evacuation or medical facilities. Also be aware and clearly understand that Artisans of Safari LLC will not have liability regarding provision of medical care or the adequacy of any care that may be rendered. You are voluntarily participating in these activities with the knowledge of the dangers involved and hereby agree to accept any risks.

AS LAWFUL CONSIDERATION for the agreement with Artisans of Safari LLC. to participate in such trips and activities you hereby agree that you will not make a claim against Artisans of Safari LLC., or sue for bodily injury, emotional trauma, death and/or property damage, however caused, as a result of your participation in the safari. You therefore release Artisans of Safari LLC and its employees from all claims, known or unknown, arising from your participation in a safari.

This release of Liability and Assumption of Risk agreement as well as Acknowledgement of Services is entered into on behalf of all members of your family including minors accompanying you. This agreement is binding on your heirs, legal representatives and assigns. If any portion of this agreement is unenforceable, the remaining portions shall remain in full force and effect. Any litigation involving this contract, any of our brochures or your trip can be brought only in courts of competent jurisdiction in the state of California and California law will apply to any disputes, which arise out of your trip.

 Privacy Statement and Security

Artisans of Safari, LLC (referred to in this Privacy Statement as “Artisans of Safari”) respects your privacy and is committed to protect the personal information that you share with us. This Privacy Statement applies to artisansofsafari.com and any website owned, operated, licensed or controlled by Artisans of Safari (referred to in this Privacy Statement as the “Site”). This Site is intended for use by persons who are over 18 years of age. By using this Site, you accept the practices described in this Privacy Statement.

Information Collection

When you browse the Site and have not registered for any online service from Artisans of Safari, you browse anonymously.  Personal Information is not collected as you browse. “Personal Information” is defined as any information that identifies or can be used to identify, contact, or locate the person to whom such information pertains, including, but not limited to, a first and last name; email address; a home, postal or other physical address; or other contact information. When you register for or request any Site service, or when you complete the “Tell Us About Your Trip” form online you may be asked to provide us with Personal Information which is used to enhance your Site experience, expedite communications, allow you to receive electronic/postal mailings from Artisans of Safari, or help facilitate your travel with Artisans of Safari. Additionally, we request your destination and travel interests, which allows us to further personalize your trip and email messages.

We may also use this Personal Information in aggregate to generate market research reports. Demographic data such as age, gender and interests provided by Google are collected and used to analyze our Site visitors through Google Analytics Demographics and Interest Reporting. Use of Information

We may use Personal Information you have given us with any of our group of affiliated companies to, for example, provide a service, ensure proper booking, measure consumer interest in our various products and services and inform you about products and services.

Cookies

If you use the Site, we utilize “cookies” that enable us to monitor traffic patterns and to serve you more efficiently if you revisit the Site. A cookie does not identify you personally but it does identify your computer. You can set your browser to notify you when you receive a cookie and this will provide you with an opportunity to either accept or reject it in each instance.  There are two types of cookies, session cookies and persistent cookies. Session cookies are temporary cookie files, which are erased when you close your browser. When you restart your browser and go back to the Site, the Site will not recognize you. Artisans of Safari collects the IP addresses (the Internet Protocol address, which is a numerical label assigned to each device on the Internet) used to access the Site and the dates and times of access. IP addresses are not personally linked to identifiable information.

Email

Artisans of Safari may send you emails based on Personal Information you provided, both online and through any transactions with us. These emails may come directly from Artisans of Safari or from a company we have engaged on our behalf. You can opt-out of receiving marketing email from Artisans of Safari as described below in the section entitled: “Declining Email.” When we send you email, we may use your email address to identify information about your receipt of the email, including whether the communication was opened, how many times it was viewed and whether you clicked on an embedded hyperlink to reach a particular web page. This information is used to measure response rates to email communications as well as enhance your Site experience.

Declining Email

Artisans of Safari provides all recipients with a means to decline receiving marketing email. At any time, you may request to discontinue receiving email from Artisans of Safari by following the opt-out instructions included at the bottom of all Artisans of Safari marketing email and informing us of your preference. If you would like to be removed from all Artisans of Safari communications, please call 1-424-781-8427 and speak to us.

Children

This Site is not used to knowingly solicit Personal Information from or market to children under the age of 13. This Site is intended for use by persons who are over 18 years of age. Therefore, we request that children under the age of 13 not submit any Personal Information to us through the Site. If we learn that we have inadvertently gathered Personal Information from children under the age of 13, we will promptly remove such information from our records.
